Hide or export categories

Postby Ali Galal » 2017-05-09 23:23

System information: [ Citavi Version 5.x Beta, -, -, -, -, - ]

Thank you for your great software.. Just wanted to ask a couple of questions:
1-Is it possible to choose a specific category or categories (with its/their subcategories) and hide all other categories?..
2-Is it possible to export a category/selection of categories with all its/their attached references and knowledge items to an existing project or a new one (as a separate new project)?...I know that currently I can export references with their attached categories to other projects, but working on the aggregate category level might be needed in some cases..

These features may be useful in handling large projects with many categories, and can provide a partial alternative to the idea of sub-projects..

Thanks again for all your efforts..

Dear Ali,

thank you very much for your questions.

You could use the advanced search to create a selection of several categories.
This search can be saved and easily selected as a filter.

In a second step, you can now export this selection to another project.

Kind regards,
Jana

Dear Jana,
Thank you very much for kind and rapid reply as usual.. The answer is very useful for work on reference level..Still, if it is possible to add work on category level to the wishlist I would be thankful (being able to select multiple categories at once, being able to hide/show other categories, being able to export the selected categories with all attached references and/or/ knowledge items to an existing or a new project/ being able to cut or copy a category and paste it in other category more freely than the current merge option/....)..To make it short, being able to handle categories as windows folders or mindmap nodes/branches. Thanks again for everything....

Dear Ali,

thank you very much for your swift reply.

Yes, we would like to improve the handling of categories and also dream about a mindmap feature.

However, as we are currently busy with developping Citavi Web, this ideal category handling will have to move back in our internal wish list.

All the best,
Jana

Dear Jana,
Based on your suggestion of using saved searches, this is a workaround for creating a new project by exporting a category (and its sub categories) with all associated references and Knowledge items(ki):

1-In References window, use shift + left click to select the main category you want to select (using shift key shows all references associated with sub categories as well)

2- Select all references (Ctrl + A), then right click and "assign groups". Assign or create a group identifying these references (e.g.: new sub project1).

3- In Knowledge window, repeat steps 1 and 2 to select all ki associated with the main category and all its sub categories. Assign all these ki to the same group (e.g.: new sub project1).

4(Optional)- You can review all uncategorized references and ki to see if you missed assigning any refs or ki to your project. If so, assign them to the same group(e.g.: new sub project1).

5-In the "search" window, select advanced search and choose "groups in references" or "groups in Knowledge items" as search fields , and search for your group (e.g.: new sub project1). Select to "save search"

6-In the reference window, use filter by the saved search to show all related references

7-Select all references (Ctrl+A), and from "references" menu choose to "export" the selection to your new sub project...

The idea is that some ki listed in the categories may belong to references not associated with these categories. By creating search criteria including both references and ki, the user will not lose any reference or ki when exporting a main category to a new sub project.

Still if it is possible to directly export a selected category (and all its sub-categories) or hiding all other categories within an existing project, this will be of a great help. I believe may users will really appreciate if you can add these features to your wish list. Being able to create sub-projects from an existing one based on categories may be helpful for purposes of backup, sharing and avoiding any overload within the main project on the long run.

Thank you again for your great software and efforts and sorry for the lengthy post and any redundancy
